New member setup guide

Step by step from approved application to your first checkout flight: profile, credentials, documents, agreements, dues and booking.

Use the wizard

The portal has a guided version of this checklist at Setup guide in the sidebar. It ticks off each step automatically as the underlying record appears, so you can always see what is left.

You cannot dispatch an aircraft until your profile, required agreements and dues are in place. Work the steps in order and nothing will block you later.

Step 1 — Finish your profile

  1. 1Open Settings → Profile.
  2. 2Enter your legal name exactly as it appears on your pilot certificate.
  3. 3Add a mobile number dispatch can reach you on.
  4. 4Set your time zone so schedule times display correctly.

Step 2 — Add your pilot credentials

  1. 1In Settings → Pilot record, choose your certificate level.
  2. 2Enter your certificate number.
  3. 3Record your medical class and expiration date.
  4. 4Add your most recent flight review date so the 24-month clock is tracked.

These dates drive currency alerts and the daily operations checklist. Expired credentials show up as a dispatch block, not a surprise at the aircraft.

Step 3 — Upload your documents

  • Pilot certificate (front and back).
  • Current medical certificate.
  • Government-issued photo ID.
  • Renter's insurance declaration, if you carry it.

Set the expiration date on anything that expires. The portal warns you ahead of the lapse and flags it for staff on the daily checklist.

Step 4 — Sign the club agreements

Documents → Agreements lists every document the club requires. Read each one, then sign with your name. Signed copies stay downloadable from that tab. When the club revises a document the version bumps and you are prompted to re-sign.

Step 5 — Pay initiation and dues

Card payments run through hosted checkout on the Pay dues screen. Paying by cash, check or ACH? An admin logs that payment against your invoice manually.

Step 6 — Book your checkout flight

  1. 1Open Schedule and pick an open block.
  2. 2Select an A4-approved instructor for the reservation.
  3. 3Confirm the booking — you get a notification and a calendar entry.
  4. 4Subscribe to the calendar feed from Settings so future bookings sync automatically.

Students continue into Flight Academy after checkout: the Part 61 syllabus, lesson worksheets and stage checks all live there.
