Billing and invoices
One invoice covers aircraft and instruction. Here is how it is assembled and paid.
One invoice, everything included
A4 bills you for aircraft time and instruction on a single club invoice. The club pays its contract instructors directly — you never settle up separately with your CFI.
- Hourly aircraft rates are wet: fuel is included.
- Flights bill on meter (Hobbs/tach) time, in tenth-of-an-hour (0.1 hr) increments, with a one-hour minimum. You pay for meter time, not time flown.
- Line items are generated from closed dispatch sheets and instructor-signed instruction time.
- Membership dues and any incidentals appear as their own line items.
Statuses and payment

| Draft | Being assembled by the club; not yet payable. |
| Sent | Issued to you and awaiting payment. |
| Paid | Payment received and applied in full. |
| Overdue | Past the due date with a balance outstanding. |
| Void | Cancelled by the club and no longer owed. |
Card payments are collected through Stripe checkout and reconciled automatically by the payments webhook. Administrators can log cash, check or bank transfers directly on an invoice. Your instructor can also settle a flight on the spot: at check-in they issue the invoice and show a QR code — scan it with your phone, review the line items, and pay by card, Apple Pay or Google Pay.
If the club has granted you an account credit, any unapplied balance is consumed automatically the next time an invoice is issued to you — the invoice shows the credit line and the reduced amount due.
Card on file: authorize a card once on Billing, Payments or during Get set up, set the most you want charged without asking, and issued invoices settle themselves — including the invoice your instructor creates at check-in. Any card you pay with can be kept on file at checkout. You can pause or remove the authorization at any time, and every automatic charge sends you a receipt.
Finding your invoices
- 1Open Billing in the portal sidebar.
- 2Pick an invoice to see its line items, payments and remaining balance.
- 3Download the PDF, or use the pay button to settle by card.
